Representative scenarios

See what a better way of working could look like.

Five situations written as illustrations. They are not case studies: there are no client names, no results and no before-and-after figures, because we are not going to invent any.

01 · Representative scenario

Connecting manual service requests into one coordinated workflow

The starting situation
Requests arrive by email, phone and a shared inbox. A coordinator copies each into a spreadsheet, assigns it by hand and chases progress.
The underlying challenge
There is no single record of a request. Status lives in whoever last touched it, so escalation depends on someone remembering.
The proposed approach
Map the request types and their real routing rules. Define one intake with the minimum fields needed to route correctly. Automate assignment for the common types and route the rest to a named owner.
The potential solution
A single intake and work queue, with routing rules, visible status, and a view for the coordinator that shows what is stuck rather than what exists.
Possible improvement areas
  • Time between request and first action
  • Share of requests with a clear owner
  • Volume of status-chasing messages

A note on evidence

We would rather show our thinking than borrow someone else’s results.

Case-study numbers are easy to write and hard to verify. Until we can publish work with a named client’s agreement, these scenarios are how we show what we would actually do. In a first conversation we will talk about your situation in the same level of detail.
